Setting Up Automations

Create rules that automatically send agreements when quotes are approved.

5 min read

Automations let you define rules that automatically send agreement templates when specific conditions are met — like when a customer approves a quote in your CRM.

How Automations Work

An automation consists of:

  • A template — which agreement to send
  • Conditions — what has to be true for the automation to trigger
  • Priority — when multiple automations match, higher-priority rules take precedence

When a quote is approved in your CRM and synced to Field Onboard, the rules engine evaluates all active automations. If one matches, the linked template is sent automatically — no manual action needed.

Creating an Automation

Navigate to Settings → Automations and click Create Automation:

  • Choose a template — select which published template to send when this rule fires
  • Define line items — add the line item names (and optionally descriptions) that must appear on the quote for this rule to match. The match is exact — every line item you specify must be present on the quote.
  • Add custom field conditions (optional) — if your CRM uses custom fields (e.g., Jobber custom fields), you can add conditions based on those values.

Matching Logic

  • Line items use exact set matching — all specified items must be present on the quote
  • Multiple conditions can be combined with AND or OR logic
  • Rules are evaluated in priority order (highest first), so you can create specific rules that take precedence over general ones

Managing Automations

From the automations list you can:

  • Enable / Disable — toggle an automation on or off without deleting it
  • Edit — update conditions or change the linked template
  • Delete — permanently remove the automation

Only automations linked to published templates will fire. If a template is in draft, its automations won't trigger.
